Why the difference is so large

On theaifd the reading, coding, matching and chasing are done by the platform. Receipts arrive by email or WhatsApp, are read, matched to the bank and coded against what that supplier was coded to before. A person reviews what the platform flags and signs it off. Everything else is approved in batches under rules the practice sets, with a sample held back for a full check.

Every client sits in one queue, so nobody spends the first quarter of an hour of each client finding their place. Missing receipts are asked for by the platform, by email and WhatsApp, with every ask recorded. And there is no separate extraction tool to pay for each client.

Nothing posts to Xero or QuickBooks without a person approving it, and every decision is in the audit trail.

Where the theaifd figure comes from

It is measured, not estimated: every reviewer minute recorded on live client work, divided by every item approved, including the ones approved in a batch. The figures for working by hand and with a regular extraction tool are the assumptions shown above, and you can change them.
