Receipts and bookkeeping

Receipts by WhatsApp, matched and coded for your clients.

theaifd collects receipts from your clients by WhatsApp or email, reads each one in full, matches it to the bank line and codes it to the client's own chart of accounts and VAT codes. A person approves every match and every coding before anything moves on.

How do clients send receipts to theaifd?

Clients send a photo or a PDF by WhatsApp, or email it to their own receipts address. theaifd replies to say where each receipt was filed. Where one number sends for several businesses, the sender adds the client's code to the caption.

A number theaifd does not recognise is asked which business it is for, and is used for receipts only.

What happens to a receipt once it arrives?

theaifd reads the supplier, the date, the total, the VAT, the net amount and any itemised lines, then proposes a match against the client's bank line. It suggests the account and VAT code from the client's own Xero or QuickBooks chart, and says where each suggestion came from.

A person checks and approves each one. What is approved teaches the supplier rule, so the same supplier is coded the same way next time.

How are missing receipts chased?

theaifd builds a list of payments still missing a receipt every week and drafts the request to the client. Nothing goes to your client until a person approves it, unless your practice lets one client's weekly reminder send on its own after four clean weeks, and that can be switched back at any time.

Does theaifd post to the client's ledger?

No. Connections to Xero and QuickBooks are read only, and nothing is posted to a client's ledger unless your practice asks in writing for that job.

Do we still need a separate receipt capture app?

For clients whose bookkeeping theaifd prepares, receipts are captured, read, matched and coded inside theaifd, so there is no separate app for the client to learn. Posting approved items into the ledger is the next stage being built.
